      Getting Started

      How do I contact you?

      Reach us at support@speedyproshats.com. We keep all communications by email so your order details are documented and our full team stays on the same page. We're real people and respond quickly.

      Is there a minimum order quantity?

      No minimums, no maximums — order exactly what you need. Pricing per hat improves at higher quantities. Orders of 12 or more include digitizing at no extra charge. Orders under 12 hats include a one-time $50 artwork setup fee, never charged again for reorders using the same logo.

      What hat brands and styles do you carry?

      We carry Richardson, Flexfit, Otto, Yupoong, 47 Brand, New Era, and Pacific Headwear — including trucker hats, dad hats, snapbacks, rope hats, flat bills, and fitted styles. USA-made options are available. For large orders (100+ hats) needing a style not on our site, contact us — we may be able to source the blanks.

      Where are you located and where are the hats made?

      We're based in Brandon, FL (Tampa area). All embroidery and customization is done at our facility. Hat blanks are sourced from manufacturers worldwide, and USA-made options are available.

      When am I charged?

      Payment is collected when you place your order. Your order does not move into production until after you've approved your digital proof — so you're never locked into a design you haven't signed off on.

      Artwork & Digitizing

      What file formats work best?

      Vector files are ideal: .AI, .EPS, or vector .PDF. High-res .PNG or .JPG at 300 dpi or higher also work. If you only have a low-res file, send it — we'll let you know if it's workable. We also accept existing stitch files in DST, EMB, and PXF formats.

      What is digitizing and do I pay for it?

      Digitizing converts your logo into a stitch file our embroidery machines can read. A skilled digitizer maps every stitch path and density for your exact fabric. For orders of 12 or more, digitizing is included. For smaller orders, the one-time $50 setup fee covers it — never charged again on reorders with the same logo.

      How long does digitizing take?

      Digitizing takes about 2–3 business days and is built into your overall order timeline. After digitizing, we send a digital proof for approval before any hats are stitched.

      What are the size limits for hat embroidery?

      Front panel: max height 2.25″, typical width 4.5″–5″. Minimum readable text height is 0.20″ (5mm). A single line of text fits about 20 characters before wrapping. We'll flag anything outside these limits during proofing.

      Can you embroider a photo or portrait?

      No. Embroidery works best with clean lines, bold shapes, and limited colors. Detailed photographs and portraits lose too much detail in thread. Send us your artwork if you're unsure and we'll assess it.

      Proofing & Approval

      What does the ordering and proofing process look like?

      Place and pay for your order, we digitize your logo (2–3 business days), we test sew and proof internally, you receive a digital proof by email, you approve or request revisions, and once approved your order goes into production. Respond to your proof quickly — your production clock runs from approval.

      Will the embroidery colors match my logo exactly?

      Thread offers a wide color range, but it's a different medium than print — an exact match isn't always possible, and thread can look slightly different on fabric than on screen. Your proof shows the exact thread colors selected. Review carefully before approving — once approved, those colors are confirmed.

      I'm reordering with the same logo — do I pay the setup fee again?

      Never. The $50 setup fee is one-time only. Once your logo is on file, all future orders using that same logo are setup-fee-free. Just let us know at checkout that you're reordering.

      Production & Turnaround

      How long does my order take?

      From order to delivery is 7–14 days. That covers digitizing, your proof approval, production, quality inspection, and shipping. Respond to your proof quickly to keep your order moving — the production clock runs from approval.

      Can my order be expedited?

      If you have a hard deadline, email support@speedyproshats.com before ordering and we'll confirm whether your timeline is achievable and what options are available.

      How do I track my order?

      You'll receive a shipping confirmation email with your tracking number the day your order ships. You can also track anytime on our Track My Order page or by logging into your account. Questions? Email support@speedyproshats.com with your order number.

      Orders, Changes & Cancellations

      How can I cancel my order?

      Email support@speedyproshats.com as soon as possible. Orders can only be cancelled within 72 hours of placement and before you approve your proof. Once you approve, production begins and cancellations aren't possible. The $50 setup fee is non-refundable once digitizing has begun. For orders of 12+ where the fee is waived, a $30 cancellation fee applies if your logo is already digitized.

      Can I make changes after placing my order?

      Changes can be requested before you approve your proof at no charge. After proof approval, production begins immediately and no changes are possible. Contact us right away if you need to adjust anything.

      What if there's an issue with my order?

      If your order arrives with a production error, wrong item, or damage on our end, we make it right. Email support@speedyproshats.com within 15 days of delivery with your order number and clear photos. We review all claims within 2 business days.

      Can I return my order?

      Because every hat is custom-made to your specifications, we don't accept returns on completed orders. The proof approval process is your protection — you sign off before production starts, and we inspect every order before it ships. If there's a production defect on our side, we replace it.

      Fitted Hats

      What fitted hat styles do you offer?

      We carry Flexfit 6277 (curved bill), Flexfit 6297 (flat bill), Flexfit 6511 (stretch mesh), and New Era 59FIFTY. All other styles are adjustable one-size-fits-all and don't require size selection.

      How do I measure for a fitted hat?

      Use a soft tape around your head about half an inch above your ears and across the middle of your forehead — snug but comfortable. Flexfit S/M fits 21¼″–22⅜″, L/XL fits 22⅝″–24″. New Era 59FIFTY is rigid and sized exactly (6⅞ to 7⅝) — when between sizes, go up half a size.

      I'm ordering fitted hats for a team — what's the process?

      Collect individual head measurements from every team member before ordering and submit your full size breakdown with your request. For crew orders of 24+ fitted hats, contact us before ordering so we can reserve stock and prevent mid-production surprises.

      Content & Trademark Policy

      Are there restrictions on what can be embroidered?

      We're here for your business logo, your organization's name, your brand. We cannot produce trademarked or copyrighted content without written authorization; sports/college/university marks; licensed event references; entertainment IP; celebrity names or handles; gang-related content; drug references; or offensive content. Orders violating this are cancelled and refunded. Unsure? Email us before ordering.

      Care Instructions

      How do I wash my custom embroidered hat?

      Hand wash only with cold or lukewarm water and a mild detergent. Do not machine wash or dry — heat and agitation distort shape and damage thread. Avoid bleach and harsh cleaners. Air dry only, and spot clean when possible for the longest life.
