Decide the blank before you finalize the artwork. A design built for a structured cap often needs opening up and reducing for a soft crown, and doing that after approval means starting again.

- Vector format. AI, EPS, PDF or SVG. These scale cleanly to any size.
- A raster file can be used — a JPG or PNG — and it has to be redrawn first, which adds a step.
- Built for the panel. A cap front is roughly 2.5 inches tall and 4 wide. Elements that work on a website or a sign often do not survive that reduction.
Three things to drop before submitting. Taglines, established dates and any text below about a quarter inch at final size. Most logos read better without them at this scale.

- Artwork review. We check the file against the blank and the placement, and flag anything that will not reproduce well at size.
- Digitizing. For embroidery, the artwork is converted into a stitch file — instructions telling the machine where every stitch goes. This is one-time per design.

- Approval, then production. Nothing is stitched until you have confirmed the proof.

- View at actual size rather than zoomed in.
- Step back and look from across a room.
- Read any text aloud. Silent reading misses spelling errors.
- Check the margins to the seams — at least a quarter inch.
- Check fixed details against a written source. Names, dates and numbers.

The simplest test. If the design would read as a black-and-white sticker at three inches wide, it will embroider. If it depends on color blending or fine detail, it wants a patch or a transfer.
