How to Order Custom Hats: From Logo to Delivery
Share
Most questions about how to order custom hats come down to two things: which blank, and how the logo goes on. Speedy Pros Hats has answered both for customers since 2009.
Ordering custom hats sounds more complicated than it is. There are only five decisions, and four of them are made before anything gets stitched. Here is the whole process, start to finish, so you know exactly what happens and what we need from you at each stage.
- Five steps, not fifty. Choose a blank, send artwork, approve a proof, we produce, it ships.
- The proof is the checkpoint. Nothing is stitched until you have seen and approved a free digital proof.
- Your design stays on file. Reorders skip setup entirely and match the first run exactly.
How to Order Custom Hats
Everything downstream follows from the cap itself, so this is the decision worth spending time on. Three questions narrow it fast: who wears it, where do they wear it, and does the cap need to sell at retail or be handed out.
Step 1: Choose Your Blank
A crew working full sun wants a mesh-back trucker; a boutique wants a soft dad cap; a pro shop wants a rope or performance cap.

If you are unsure, our hat styles guide walks the whole lineup, and we are happy to tell you which blank we would pick for your job. Sometimes that is the less expensive one.
Step 2: Send Your Artwork
Send the cleanest version of your logo you have. Vector files are ideal because they scale without losing edges, but a high-resolution image is workable and we will tell you honestly if what you have sent will not hold up in thread.
This is also the moment to mention brand colors: Send Pantone references or the hex codes from your style guide and we will match to the closest available thread. If your logo has fine gradients, hairlines, or a lot of small text, we will suggest simplifying it. Thread is solid color, and a mark built for screen or print rarely translates unchanged.
Step 3: Approve Your Free Digital Proof
This is the step that protects you, and it is free on every order. We digitize your artwork, place it on the exact blank and color you chose, and send it back for approval. You see the logo size, the placement, the thread colors, and how the whole thing sits on the cap before a single stitch is made.
Read it at actual size rather than zoomed in, because that is closer to how people will see it. If something is off — the mark reads too large, the contrast is weak, the placement is not where you pictured, say so and we revise it. Nothing enters production until you approve.

Step 4: Production
Once your proof is approved, your order joins the production queue and we stitch it at our shop in the Tampa Bay area. Free artwork setup applies on orders of 12+.
Every order, at every quantity, moves through the same standard production window shown on the order page, and the clock starts at your proof approval rather than at checkout, which is why approving promptly is the single biggest thing you control.
Step 5: Delivery, Then Reorders
Your hats ship out finished, trimmed, and checked. What happens after that is the part most people do not think about at the start: your design stays on file. A reorder is a message rather than a project, it skips the setup step entirely, and the second run matches the first exactly, same thread, same placement, same blank.
That consistency is what turns a one-off order into a program, and it is why we suggest deciding your standard blank early rather than changing it every season.
What You Need Before You Start
Very little, honestly — a logo file, a rough idea of quantity, and a sense of who is wearing the caps.
You do not need final artwork, exact counts, or a decided color. Those all get settled in conversation, and the proof stage exists precisely so nothing is locked in prematurely. If you are missing the logo entirely, tell us what you have and we will work from it.

The Five Steps Side by Side
| Step | What you do | What we do | What it costs you |
|---|---|---|---|
| 1. Choose the blank | Tell us who wears it and where | Recommend the blank that fits the job | A short conversation |
| 2. Send artwork | Send the cleanest logo file you have | Review it and flag anything that will not stitch | Nothing |
| 3. Proof | Read it at actual size and approve or revise | Digitize and show it on your exact cap | Nothing — the proof is free |
| 4. Production | Approve promptly | Stitch it at our Tampa Bay shop | Free artwork setup on orders of 12+ |
| 5. Delivery and reorder | Reorder if you need more | Keep your design on file | No repeat setup |
In short: the only step with real decisions in it is the first one. Everything after that is confirmation.
- Deciding the blank before defining the job. The cap choice drives everything downstream.
The catalog is not the starting point. Who wears the cap and where they wear it narrows the options faster than any filter, and it prevents the most expensive mistake. A cap nobody wants to wear.
Skimming the proof.
The proof is the last inexpensive moment to change anything. Two minutes reading it carefully saves a reorder, and it is the single most common regret we hear from people who skimmed past it.
Sending a screenshot as artwork.
Low-resolution raster art forces guesswork at the digitizing stage. If a vector file exists anywhere in your files, send that one instead. It costs nothing and produces a visibly cleaner stitch.

Ordering exactly the headcount.
New hires, lost caps, and ruined caps are all certainties. A small buffer ordered with the main run means you are not paying setup a second time for three caps.
Tips Worth Knowing First
Order a sample before a large run. Holding the cap answers fit, color, and feel questions that no photograph or proof resolves, and on a significant order it is the cheapest insurance available.
Decide the closure first, then the crown, then the color. Closure determines whether you need sizes at all, crown determines what artwork works, and color is the easiest thing to change late.
For heat and sun, mesh backs and moisture-managing performance fronts keep a cap on heads all day. For cold or wind, solid cotton, wool blends, and acrylic knit hold warmth where mesh cannot. Cotton twill sits in the middle and takes embroidery beautifully, softening with every wear.
Keep the cap out of the dryer entirely. Heat is the single fastest way to shrink a crown and warp a brim, and the embroidery will outlast the cap anyway, so the cap is the part worth protecting.
Group small orders up to twelve pieces, since free artwork setup applies on orders of 12+. Beyond that, ordering the year's quantity in one run rather than several small ones improves pricing and means setup happens once.

For a first order, take a structured adjustable cap in a mid-to-dark color with a clean embroidered logo, and ask for a sample before committing the full run.
It is the most broadly correct answer in headwear, it fits nearly everyone without a sizing exercise, and it gives you a concrete baseline to judge every future option against. Once that works, add a second colorway or a premium version for staff and retail.
Most decorators are a website and a warehouse. We are a small Brandon shop, family-run since 2009, and we decorate every cap ourselves.
You get a free proof before anything is stitched, no minimum, US-made decoration, and a remake guarantee. Ask what we would order for your job and you will get a real answer, including the times the honest answer costs you less.

Frequently Asked Questions
How do I order custom hats?
Five steps. Choose a blank, send your logo, approve a free digital proof, we produce it, and it ships. Your design then stays on file so reorders skip setup entirely.
Do I need to have final artwork ready?
No. Send the cleanest file you have and we will tell you honestly whether it will hold up in thread, then suggest simplifications if it needs them. Nothing is locked in before the proof.
What file format works best for custom hat embroidery?
Vector files are ideal because they scale cleanly, but a high-resolution image is workable. Screenshots and low-resolution files force guesswork at the digitizing stage.
Is there a minimum order for custom hats?
No minimum. Order a single cap or outfit a whole company, and free artwork setup applies on orders of 12+.
Can I see the hat before you make it?
You see a free digital proof showing your logo on the exact blank and color you chose, and nothing is stitched until you approve it. For large runs we recommend ordering a physical sample as well.
How do reorders work?
Your design stays on file, so a reorder is a message rather than a project. It skips setup and matches your first run exactly, same thread, same placement, same blank.
