An embroidery design isn't an image. It's a set of instructions, and that distinction explains most of what confuses people. We'll set it out.
Making an embroidery design means digitizing — converting artwork into a file that tells the machine where every stitch goes, in what order, at what angle and at what density — which is a skilled decision-making process rather than a file conversion. What Digitizing Actually Decides
Four things, none of which exist in the original artwork.

- Stitch type. Satin for outlines and text, fill for larger areas, running stitch for fine lines. Each behaves differently.
- Stitch direction. Thread reflects light along its length, so the angle changes how an area reads. Two areas in the same color at different angles look like different shades.
- Density. How closely stitches sit. Too sparse and the fabric shows through; too dense and the panel puckers.
- Underlay. A sparse layer stitched first, stabilizing the fabric and lifting the top stitching so it sits above the surface rather than sinking in.

Ask whether a design was digitized specifically for your blank. The same artwork needs different density and underlay on a foam-front trucker than on a knit beanie.
Why Auto-Conversion Fails
Software that converts an image to stitches exists and produces poor results, for reasons worth understanding.
- It cannot judge the fabric. Density that works on twill puckers an unstructured crown and sinks into a knit.
- It does not simplify. A logo with fine detail gets converted faithfully, including elements too small to stitch.
- Stitch order is arbitrary. Which causes unnecessary trims, color changes and thread breaks.
- No pull compensation. Stitching draws fabric inward, so shapes need to be digitized slightly wider than drawn to finish the right size. Software rarely accounts for it.
That last point is the one that shows most visibly. A circle digitized without pull compensation comes out as an oval.

Preparing Artwork Before Digitizing
- Work in vector. AI, EPS, PDF or SVG scales cleanly and gives clean paths to follow.
- Set the final size first. Then check every element against it, since detail decisions depend on size.
- Remove what will not stitch. Gradients, fine detail, hairline strokes, text below about a quarter inch.
- Even out stroke weights. Consistent widths stitch more reliably than variable ones.
- Separate the colors. Each becomes a machine operation, so the artwork should be cleanly divided.
- Simplify again. Almost every first version survives one more round.

One File Per Design, Not Per Order
A practical point that affects cost.

Thread Color Selection
A step that happens alongside digitizing and gets decided separately from the artwork.

Thread comes in fixed ranges, so a brand color is matched to the nearest available rather than mixed to order. Three consequences follow.
- Exact brand matches are rare. Nearest available is standard, and on most palettes the difference is imperceptible.
- Thread numbers are the reliable reference. Recording the specific thread number used means a reorder years later matches, where a color name does not.
- Fabric affects perception. The same thread reads differently on black than on heather gray, so a color chosen against one blank may need rechecking against another.
There is also a durability consideration. Polyester thread holds color under sun considerably better than rayon, which is why we run polyester as standard on anything worn outdoors.

File Formats
Embroidery files are machine-specific, which surprises people expecting something universal.
DST is the most widely compatible and the common exchange format.
Other formats — EXP, PES, JEF and others — suit particular machine brands.
Two practical points. A DST holds stitches but not color names, so thread colors are specified separately. And an embroidery file cannot be edited like artwork — changing the design usually means redigitizing rather than adjusting.
